Principles and method
Closure includes candidate communication, final records, handover, commercial administration and a review of what was learned. A filled role is not the only possible closure: cancellation or a decision not to hire should also be recorded honestly. Respect agreed retention and contact preferences. Summarise market findings that remain useful without retaining unnecessary personal details. Compare actual effort and outcomes with the plan to improve future estimates. Ask the client what helped and what created friction, then turn specific feedback into operational changes.
Worked example
A client cancels the role after a strategy change. The recruiter closes candidate conversations, records the reason and produces a permitted market summary rather than leaving the search indefinitely active in the pipeline.

Include every affected party and system, not only the invoice. Preserve aggregate learning and remove obsolete tasks. A cancelled search should not remain forecast as future revenue without a new basis.
