Choose a small process
Start with one recurring task, such as preparing an interview briefing pack after an interview is confirmed. Record the information needed, who owns the result and when it should be ready. Avoid combining several unrelated processes into one first attempt.
Define the trigger and checks
Specify the event that starts the workflow. Require the candidate, role, interview details and approved brief before preparing a draft. If anything is missing, assign a task to the owner rather than guessing. Require human approval before the pack is sent.
Plan for exceptions
Decide what happens when an interview is rescheduled, a source record changes or a request fails. Avoid sending twice by recording completion against the interview. Test with fictional records, inspect the outcome and document how the owner can pause the workflow.
Put it into practice
Write a workflow plan with a trigger, required inputs, three steps, approval owner, completion record and a response to missing information.
